SWEED HOLDINGS ("we," "us," or "our") operates the BrainBank mobile application (the "App"). This Privacy Policy describes how we collect, use, and protect your information when you use BrainBank.
By using the App, you agree to the collection and use of information as described in this policy.
1. Information We Collect
Information You Provide
- Voice Recordings & Transcripts — When you use the microphone to create entries, we process your audio to generate text transcripts. Transcripts and AI-generated summaries are stored as part of your entries.
- Photos — If you attach photos to entries using your camera or photo library, those images are stored with the entry.
- Account Information — If you sign in with Apple or Google, we receive your name and email address as provided by those services. You may also use the App anonymously without providing personal information.
- Location Data — If you enable the optional "Remember Location" setting, we collect your approximate location when creating entries. This is never collected without your explicit opt-in.
- Bug Reports — If you submit a bug report through the App, it may include a description you write and a screenshot. These are sent to our issue tracker.
Information Generated by the App
- Entry Metadata — Categories, tags, titles, and summaries generated by AI processing of your transcripts.
- Search Queries — When the App searches for books, movies, places, or companies related to your entries, those search terms are sent to third-party APIs.
Information We Do NOT Collect
- We do not collect advertising identifiers (IDFA).
- We do not track you across other apps or websites.
- We do not sell your data to third parties.
2. How We Use Your Information

3. Third-Party Services
BrainBank routes data through our secure server to the following third-party services. Your data is sent only as needed to provide the App's features:

All communication with these services occurs over encrypted connections (HTTPS/WSS). API keys are stored server-side and are never included in the App binary.
4. Data Storage & Security
- On-Device Storage — Your entries are stored locally on your device using Apple's SwiftData framework. This data is protected by your device's built-in encryption when a passcode is set.
- Cloud Storage — If you sign in with Apple or Google, entries are synced to Google Cloud Firestore. Data is encrypted in transit (TLS) and at rest by Google Cloud.
- Server — Our server acts as a secure proxy between the App and third-party APIs. It does not permanently store your transcripts or entry content. The server runs on Google Cloud Run with authenticated access only.
- Authentication — All server requests require a valid Firebase authentication token. Anonymous users receive a unique token without providing personal information.
5. Data Retention
- Your entries are retained for as long as you keep them in the App. You can delete individual entries at any time.
- Cloud data is retained until you delete entries or delete your account.
- Server logs (which do not contain transcript content) are retained for up to 30 days for operational purposes.
- Bug reports submitted to GitHub are retained indefinitely unless you request removal.
6. Account Deletion
You can delete your account at any time through Settings > Delete Account. This action:
- Permanently deletes all your entries from cloud storage (Google Firestore)
- Removes all entries from your local device
- Deletes your Firebase authentication account
- This action cannot be undone
If you use the App anonymously, you can delete all local data by uninstalling the App.
7. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access your personal data stored by the App
- Correct inaccurate data by editing your entries
- Delete your data through in-app entry deletion or account deletion
- Data Portability — request a copy of your data in a portable format
- Withdraw Consent — revoke permissions (microphone, location, photos) through your device Settings at any time

8. Children's Privacy
BrainBank is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us with personal information, please contact us at admin@brainbank-app.com and we will promptly delete it.
9. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last Updated" date at the top of this document. We encourage you to review this policy periodically. Continued use of the App after changes constitutes acceptance of the updated policy.
